What Personal Information We Collect

Categories of Information Collected

We collect personal information that identifies you or can be linked to you. The types of data we collect depend on how you interact with us:

Categories of Information Collected

When you contact us (via email, phone, or web forms) or request materials (e.g. services catalog, newsletter sign-up), we collect identifiers and contact information such as your name, business email address, phone number, company name, job title, and any message content you submit. For example, when you use our “Contact Us,” “Request a Quote,” or newsletter signup forms, you may provide your name, email, phone number, company, and similar details.

Automatically Collected Information

When you visit the Site, we automatically gather technical and usage data via cookies and server logs. This includes your IP address, device and browser type, referring/exit pages, pages viewed, and timestamps of visits. We use Google Analytics to collect this aggregate information to improve our Site’s performance; Google Analytics is the only third-party analytics tool we use. (We do not use any other advertising or social media trackers.) No personally identifiable information (like your name) is revealed to Google Analytics – it only collects usage statistics and anonymized identifiers.

Sensitive Personal Information

We do not intentionally collect sensitive personal data (such as social security numbers, health data, precise geolocation, racial or ethnic data, etc.) on our Site. Our Site is business-to-business oriented, and we have no purpose to collect sensitive data.

2

How We Use Personal Information

We use the personal information we collect for legitimate business purposes, including:

To Respond to Inquiries and Provide Services

We use your contact and professional information to respond to your requests (e.g., providing a quote or catalog) and to communicate about our services.

Marketing and Communications

We may use your email address or business contact details to send you marketing materials or newsletters about PSI’s services, unless you opt out. You can unsubscribe or decline marketing at any time by following the link in our emails or contacting us.

Analytics and Site Improvement

We use Google Analytics (see below) to analyze how visitors use our Site. This helps us estimate our audience size, understand trends, and improve the user experience.

Security and Legal Compliance

We use data to protect your information and our systems. This includes preventing security threats, fixing technical issues, and complying with legal obligations. We will also use your information if needed to defend legal claims or respond to law enforcement requests.

We will not use your personal information for any purpose that is not described here without your consent, except as required by law.

3

Disclosure of Personal Information

We do not sell or rent your personal information to marketers or third parties. We may share or disclose your information only as follows:

Service Providers

We may share personal data with our trusted service providers and subcontractors that perform business operations for us, such as website hosting, email delivery, customer relationship management (CRM), cloud storage, or IT support. These parties are bound by contract to protect your data and use it only for the purposes we specify.

Analytics

We share certain anonymized or aggregated usage data with Google (via Google Analytics) to provide Site analytics, as noted above. We do not share any personal identifiers (name, email, etc.) with advertisers or analytics vendors.

Legal and Safety

We may disclose personal information if required by law, subpoena, or government request, or to protect our rights, property, or safety (or that of our users or others.

Business Transfers

In the event of a merger, acquisition, or sale of assets, personal information may be transferred to the acquiring entity, subject to applicable law. We will notify you of any such change in ownership.

The categories of personal information we collect and the purposes for which we use and disclose it are summarized above. As required by law, our privacy notice includes: (1) the categories of personal data we process; (2) the purposes of that processing; (3) the categories of third parties with whom we share data; and (4) how you can exercise your privacy rights. For example, we inform you that we process identifiers, contact, professional, and internet usage data for purposes like customer service, marketing, analytics, and security, and that we only share it with our service providers as described above.

4

“Sale” or “Sharing” of Personal Information and Opt-Out

Under California (CPRA) and similar state laws (VCDPA, CPA, CTDPA), our use of certain analytics or advertising technologies might legally be considered a “sale,” “share,” or “targeted advertising” of personal information. For instance, Google Analytics cookies set by our Site might fall under these definitions because they link your activity on our Site with non-affiliated sites (Google’s analytics network). However, we do not sell or share your personal information for money or advertising in the traditional sense. Nevertheless, to comply with the law and protect your rights:

Opt-Out Rights

You have the right to opt out of any such sharing or sale of your information. To exercise this right, you may click the “Do Not Sell or Share My Personal Information” link in our website footer, which will register your opt-out request. You may also set a Global Privacy Control (GPC) signal in your browser; we will treat any valid GPC opt-out signal as a request to opt out of sale/sharing. In short, if you enable GPC or use the footer link, we will not engage in any sale, sharing, or targeted advertising of your personal information after that date.

Targeted Advertising

We do not run third-party behavioral advertising on our Site. We do not track you across other sites for the purpose of showing you ads. Therefore, aside from Google Analytics usage data (which is strictly for site improvement), we do not use your data for targeted advertising. We disclose this clearly in our notice as required.

You will not be charged for submitting an opt-out request, and we will honor opt-out requests for at least 12 months or until you revoke them. See Section 9 below for details on exercising this right.

When you first visit our Site, a cookie consent banner will appear allowing you to accept or decline non-essential cookies (such as analytics cookies). You can disable or delete cookies at any time via your browser settings. Additionally, our Site recognizes Global Privacy Control (GPC) signals. If your browser or privacy extension sends a GPC opt-out signal, we will treat it as a request to opt out of any sale or sharing of your data. For more information on Google Analytics and how to opt out, you may visit Google’s support resources or use the Google Analytics Opt-out Browser Add-on.

Data Security and Data Retention

Security Measures

PSI implements reasonable administrative, technical, and physical measures to protect your personal information from unauthorized access, use, or disclosure. Examples include encryption of data in transit, secure network protocols (HTTPS), access controls, and employee training on data security. We restrict access to personal data to those who need it to perform their job. Our servers and facilities are maintained in secure environments.

Despite these efforts, no system is perfectly secure. We cannot guarantee absolute security of your data. If a security incident or data breach occurs, PSI will activate its incident response plan. We will investigate promptly and notify affected individuals and regulators as required by law. If you suspect a security incident involving your personal information, please contact us immediately atsupport@ps4b.com.

Data Retention

We retain your personal information only as long as necessary to fulfill the purposes described in this policy or as required by law. Specifically:

Service and Contact Data

Information collected to respond to your inquiries or requests (e.g. contact form submissions) is retained for the duration of our engagement with you, plus a reasonable period afterward for legal, tax, and accounting requirements (typically 3–7 years).

Client Relationship Data

If you become a client, we will retain your identifiers and business data for as long as our business relationship exists and as required by law (e.g. to comply with tax or audit rules).

Marketing and Newsletter Data

If you sign up for marketing or newsletters, we will keep your contact details until you opt out. If you unsubscribe, we will retain your information on a suppression list (indefinitely) to honor your opt-out request.

Website Analytics Data

Internet usage information (from cookies) is generally retained for a limited period (typically 14–26 months) and then either deleted or aggregated. We do not keep raw analytics beyond this timeframe.

The criteria for retention include the purpose of collection, statutory requirements, and industry best practices. We review our retention schedules periodically and do not hold personal data longer than necessary.

7

Children’s Privacy

Our Site is intended for adults and business users. We do not knowingly collect any personal information from children under the age of 16. In compliance with COPPA and state laws, we do not sell or share any data of minors under 16. If we learn that we have inadvertently collected information from a child under 16 without parental consent, we will delete that data promptly. If you are a parent or guardian and believe your child’s data has been collected, please contact us at support@ps4b.com.

8

Your U.S. Privacy Rights

If you are a resident of California, Virginia, Colorado, or Connecticut, or any other state with similar privacy laws, you have certain rights regarding your personal data. PSI has chosen to extend these rights to all U.S. users. These rights include:

Right to Know/Access

You may request that we disclose what personal information we have collected about you, including the categories of data, sources, business purposes for collection, and categories of third parties with whom it has been shared.

Right to Correct

You have the right to request correction of inaccurate personal information that we maintain about you.

Right to Delete

You have the right to request deletion of personal information we have collected from you, subject to certain exceptions (for example, if we need to keep it for legal obligations).

Right to Data Portability

You have the right to request a copy of your personal data in a structured, machine-readable format that is portable across different services.

Right to Opt-Out (Sale/Sharing/Targeted Advertising)

You can direct us not to “sell” or share your personal information, or use it for targeted advertising or profiling with legal or other significant effects. As noted above, we do not sell data for monetary gain, nor do we engage in third-party targeted advertising. However, you still have the right to opt out of any such processing (if it were to occur) by using our Do Not Sell or Share My Personal Information link or by enabling a GPC signal.

Right to Limit Use of Sensitive Data

Because we do not collect sensitive personal information as defined by the CPRA/VCDPA, this right is not currently applicable. If our practices change and we begin processing sensitive data, you could request that we limit its use to only what is necessary to provide the requested services.
